CRM
The CRM (Customer Relationship Management) module helps artists and galleries track collectors, leads, and outreach — branded as Opportunities & Relationships.
Access
Navigate to CRM (/portal/or) from the Toolbox. Access requires:
- Artist account (or gallery team member with CRM permission)
- Active subscription
Kanban board
The CRM uses a kanban-style board with stages:
| Stage | Purpose |
|---|---|
| Lead | New contacts and initial interest |
| Contacted | Outreach sent, awaiting response |
| Engaged | Active conversation or relationship |
| Collector | Confirmed collector or buyer |
| Archived | Closed or inactive |
Drag cards between stages to update status.
Adding leads
Create leads manually from the CRM panel:
- Click Add lead.
- Enter name, email, notes, and source.
- The lead appears in the Lead column.
Leads can also originate from site contact forms and certificate interactions.
Lead details
Click any card to view and edit:
- Contact information
- Notes and activity history
- Linked artworks or exhibitions
- Tags and priority
CRM team access
Gallery owners can grant CRM access to team members. CRM data is scoped to the artist or gallery profile you're operating under.
Mailing list integration
CRM contacts sync with the Mailing list module. Export contacts for email campaigns or manage them from /mailing-list.
Search
Use the contact search API (in-app) to find existing CRM contacts when composing emails or linking to artworks.
